About Department and Purpose of the Position

The National University Cancer Institute, Singapore (NCIS) is a national specialist centre under the National University Health System (NUHS). It is the only public cancer centre in Singapore treating both paediatric and adult cancers in one facility.


We are seeking a dedicated Executive / Senior Executive to be responsible for the implementation and successful executive of the NCIS Personal Wellness Programme, NCIS Dream Maker programme, events and activities. The incumbent will assist in project management, coordinate and support the programmes/ activities/ events, ensuring effective communication and collaboration between stakeholders, and prepare project management documentation and project progress for NCIS and stakeholders, as required.

 

Key Responsibilities

 

Initiatives Development & Project Management

  • Participate in program design, development, planning, implementation and maintenance.
  • Obtain and utilize internal and external resources to meet program goals.
  • Collating data, organizing, analysing and researching the data relating programmes and brainstorming with programme leads for programme needs, measures and outcomes.
  • Assist in preparation of updates and project progress reports, including programme performance and outcomes, for programme leads, committees, partners and stakeholders as required, and provide recommendations for future planning.
  • Timeliness in delivery of services.
  • Maintain an active social medial educational presence and publicity (including developing content dissemination) for the programmes, events and activities in collaboration with the NCIS corporate communications team.

 

Partnerships & Stakeholder Relations

  • Engage and expand patient support group members and volunteers dedicated to the support of patients with cancer and caregivers.
  • Facilitate team and stakeholder meetings effectively.
  • Assist in setting up regular team meetings, preparing agenda, taking meeting minutes, capturing action items, preparing summary for dissemination and evaluating resources.
  • Work with key stakeholders to enhance existing programs and services for cancer survivors and caregivers.
  • In conjunction with the programme leads, actively promote, share learnings and facilitate collaboration with partners and stakeholders

 

Communications

  • Communicates effectively with at all levels, from the clinical, academic and community-based settings through to NCIS Cancer Survivorship and Dream Maker committees.
  • Ensures that all partners and stakeholders are kept fully informed and aligned.
  • Ensures effective communication and collaboration between all stakeholders.
  • Acts as the key contact and point of coordination on programmes and designated initiatives.
  • Responds to queries from the public, community organizations and health care professionals on designated programmes and initiatives.

 

Budget Monitoring & Fundraising

  • Responsible for monitoring budget expenses, performing budget reconciliation and assisting with budget development.
  • Budget preparation and tracking of all assigned programme initiatives. Assist in managing of contractual obligations for projects, ensure timely and accurate invoicing and payments, ensure compliance with budget and report variances to supervisor and programme leads.
  • Organization of resources and collaborating with NCIS fundraising team for Philantrophy

 

Secondary Responsibilities and Duties (20%)

  • Any other duties as assigned by Reporting Officer

 

Key Requirements

  • A degree added advantage in mass media / communications/ events related.
  • With more than 3 years of working experience preferably in healthcare
  • Knowledge and proficiency in other various software applications eg. Adobe Photoshop or Indesign software and other information systems
  • Relevant experience in Marketing, Communications or Events Management
  • Experience in designing of marketing collaterals will be an advantage
  • Meticulous and attention to details
  • Able to work in fast paced environment
  • Strong and effective communication skills
  • Good computer knowledge
  • Able to work as a good team member
  • Ability to plan and coordinate complex activities, organize multiple tasks and prioritize work
  • Ability to follow up on tasks independently and in a timely fashion
  • Superior written and verbal communication skills and proficient in MS Office
  • Exceptional interpersonal and communication skills (written & verbal) as the job requires interaction with the general public, patients, physicians, partners, vendors as well as internal stakeholders
  • Able to work on some weekends (Time off will be compensated for working on weekends)
