You will provide administrative support to the Head of the department of Orthopaedic Surgery and Hand & Reconstructive Microsurgery and the departments.  You will be the main liaison between departments to ensure the smooth running of the departmental administrative duties to facilitate seamless delivery of clinical care.

Responsibilities

  • Maintain HOD and Group Chief Director’s calendar to schedule and confirm appointments, meetings, and other official Engagements.
  • Ensure operational efficiency of the department office. Constantly seek opportunities to improve work flows and systems in the office administration
  • Designing the structure of filing systems for the department, clinical services or programme
  • Provide administrative support the running of the clinical services  & programme
  • Collation, Organise and prepare data for analysis and presentation for clinical services and programme
  • Prepare, organise and upload publicity & communication document in intranet and websites
  • Management of clinical services and programmes day-to-day independently
  • Process purchase orders and requisite forms for departmental purchases.
  • Preparation for meeting, including materials and attendees and recording of minutes
  • Provide administrative support in assigning, printing of medical reports.
  • Provide administrative support in printing and distribution of implant cards
  • Support the Head of Orthopaedic Surgery and Hand & Reconstructive Microsurgery in the approval of claim and leave and ensure proper documentation.
  • Support the department in the on-boarding process of doctors
  • To publish the on-call roster in the intranet upon receipt from the doctors
  • Organization and Coordinate the meetings for senior management
  • To enable the departmental training and CME event to be conducted smoothly with the timely uploading of CME points
  • Organise and coordinate the events (public forum and Workshop) independently with internal and external party. Answer queries  about the event from sponsor, targeted audience and staff proficiently
  • Support Associate Deans office with MBBS examinations
  • Any other duties as assigned by the departments

Requirements

  • GCE ‘A’ Level, Diploma or equivalent
  • Healthcare background added advantage
  • Must be proficient in English and possess good PC skills
  • Able to work on Saturdays when required
