Job Purpose:

 

The Executive Assistant will be responsible for providing administrative support to the Multi-Disciplinary Team Support for KidSTART Programme (MDT KidSTART) under National University Centre for Women & Children (NUWoC), National University Hospital (NUH).

 

Primary Duties and Responsibilities:

 

Performs administrative support duties for MDT KidSTART Programme, including but not limited to the following:

  • Collation of statistics and data, perform data entry into the programme database.
  • Assist in the collation of monthly and quarterly reports.
  • Assist in purchase of programme-related items via NUH’s requisition system.
  • Provide secretariat, administrative & logistic support for meetings related to the Programme.
  • Handle purchase and work requisition processes, from calling suppliers for quotation to submitting invoices to Finance for payment.

 

Secondary Duties and Responsibilities:

 

  • Provide ad-hoc administrative support to events organized by the department and partners
  • Perform any other duties assigned by supervisor.
  • Liaise with stakeholders to gather statistics and data for maintenance of database.
  • To communicate effectively with MDT team members for organizational & administrative work.

  •  Able to meet reporting timelines as per organization and programme requirements.

  • Assist in coordination of meeting date and booking of meeting venue, logistics for virtual meeting, meal catering etc.

  • To navigate different systems e.g. appointment booking, purchase & requisition processes and liaise with stakeholders to deliver task on time.

  • Willingness to render support as and when required.
