Senior Executive, Centre for Healthy Longevity
Overview
The position of Senior Executive, Centre for Healthy Longevity, NUHS reports to the Director and administrative lead of the Centre for Healthy Longevity (CHL). The role will provide administrative support as personal assistant to Professor Brian Kennedy, Director, Centre for Healthy Longevity, NUHS and Programme Director, Healthy Longevity Translational Research Programme (HLTRP), NUS School of Medicine.
Job Responsibilities
1. Personal Assistant and administrative support
- Provide effective and timely assistance to CHL/HLTRP Director in managing his calendar and meetings.
- Assist CHL/HLTRP Director with drafting emails, letters, recommendation letters, announcements, taking accurate minutes during meetings, preparing meeting documents, presentation slides, speeches, and other communication materials as requried.
- Assist in travel arrangements, act as claims assistant for travel, transport and hospitality submissions.Assist with matters related to C CHL/HLTRP Director’s participation in conferences/seminars and workshops, this includes arranging logistics like flight and accommodation, provide presentation title and abstract for the conference.
- Able to respond to basic inquiries from students, collaborators, or others on behalf of PD.
- Grants administration for CHL/HLTRP Director, this includes preparing the required paperwork for the CHL Director’s grant and ethics applications and administration. Liaising with Co-investigators and collaborators for CVs, writeups and signatures.
2. Finance and Procurement for the Centre for Healthy Longevity Clinical team when required
3. Able to maintain an organized workspace and functional work equipment (e.g. computer) for CHL/HLTRP Director
4. Able to independently coordinate visits from guest speakers, collaborators, or other visitors, including arranging transportation, hospitality, tokens of appreciation, and necessary materials.
5. Other Ad Hoc Duties - Ability to function well in a high-paced environment; performs additional duties as assigned by CHL Director.
Requirements
- Degree, preferably healthcare related
- Proficient with Outlook, Microsoft Word, PowerPoint and Excel
- Takes initiative and possesses strong problem-solving skills, ability to multitask and able to perform independently
- Excellent oral and written communication skills, with strict integrity standards in handling confidential matters
- Good interpersonal and communication skills
- Tact, discretion, and diplomacy to work with a diverse group from varying cultures
- Well organized with good monitoring and follow-up skills within tight deadlines
- Resourceful and comfortable in a fast-changing environment
- Strong time-management and organization skills
