KidSTART@NUH is a government-led initiative which seeks to provide support services to vulnerable pregnant mothers. This program has been highly successful in helping underprivileged pregnant mothers deliver a healthy baby and to ensure that the newborn gets the best start in life. Through home visits, the program actively engages families, social/community partners and government agencies to provide systematic, integrated and holistic support. The program aims to engage families from the early pregnancy period to maximize the health of both mother and baby, to support breastfeeding and to foster mother-child bonding so as to enhance child development and potential during the first 3 years of life.

 

Job Purpose

You will provide operational coordination, administrative support, and project management to the program. You will also be managing the day-to-day administrative duties, secretarial support activities of the office, data collation, tracking and entries. In addition, you may independently administer a defined program initiative or service operation for the Program.

You will also be providing a suite of corporate services in Finance, Human Resource, Payroll and Claims, Data Management, and IT services to ensure smooth running of the office. Preparation and maintaining audit and supporting documents.

 

Duties and Responsibilities

  • You are required to demonstrate your ability in utilizing resources in a cost-effective manner.
  • You shall prepare or assist with the preparation of scheduled and/or adhoc reports.
  • You will be coordinating purchases made by the program. You are expected to demonstrate good interpersonal relations with public and staff.
  • You shall oversee and administer the day-to-day activities of the office and develop systems which ensure productive and efficient office operation.
  • You are to assist and support the Supervisor and/or Senior Management in problem solving, project planning and management, and development and execution of state goals and objectives.
  • You are the primary point of direct administrative contact and will liaise with other offices, individuals, and external institutions and agencies on a range of specified issues.
  • You will organize and facilitate meetings, conferences, trainings, and other special events.
  • You will provide and/or oversee the provision of direct staff support which may include handling phone calls and inquiries, scheduling and preparing responses to incoming correspondences, handling day-to-day public relations and problem solving.
  • You will coordinate the application of computer accounts and other administrative details pertaining to new employees.   
  • Manage and support the discipline leads in developing procedures and SOPs for the smooth running of programme.
  • Supervise smooth implementation of plans for the programme and be responsible for troubleshooting operational and administrative matters.
  • Identify, monitor and ensure key programme performance and standards are adhered to, to achieve key reporting objectives.
  • To handle full set of accounts and maintain accurate financial records and statements.
  • Support on operating budget queries and monitor operating budget expenditure during the financial year through monthly performance reports.
  • To prepare submission of annual audited income and expenditure statement to funder.
  • Oversees compliance with funding agreements and addresses audit related queries.

Job Requirements

  • A Tertiary degree, in Accountancy/ Finance is preferred.
  • Basic degree from a recognized institution.
  • Ability to draft reports required by funding agencies and relevant supervisory organizations.
  • A good understanding of accounting and figures.
  • Knowledge in budget and procurement would be an added advantage.
  • Proficient in MS Office applications (Word, Excel, Powerpoint) and coordination skills.
  • Strong analytical, planning and problem-solving skills.
  • Ability to work with cross-functional multi-disciplined teams.
  • Effective team-player.
  • Meticulous, possess excellent organizational and coordination skills.
  • Good interpersonal and communication skills.
  • Ability to multi-task and work independently in a fast-paced environment.
