Senior Executive, Yeo Boon Khim Mind Science Centre (1-year contract)
Overview
To support the Master of Clinical Mental Health and Psychotherapy and work alongside the Programme Director, Education Directors, Faculty, and Placement to coordinate the curriculum stream of the Programme, delivering all administration relating to the teaching activities of the Programme. To offer high-quality administrative support and guidance to the Programme Team and students, developing and maintaining systems to ensure the smooth running of administrative processes and an outstanding student experience throughout the student lifecycle.

Job Description
· Responsible for the full end-to-end spectrum of programme management including:
Admissions
· Support application of admissions.
· Support admissions process from application to enrolment into the programmes.
· Perform secretarial duties for the admissions committee.
Teaching
· Support with curriculum planning/updating, time-tabling, facilities booking and logistics planning for courses and assessments/examinations.
· Providing logistical support to courses onsite and online, such as uploading of lecture notes, taking attendance and managing online learning platforms (e.g. Zoom).
· Support course administration from planning to final assessments (pre and post-processing).
· Support employment of external subject-specialist faculty members and assessments.
· Liaising with faculty members and communicate unambiguously to provide and/or exchange information accurately in all situations.
· Provide administrative support to both faculty and trainees.
· Ensure faculty members/trainers are well-supported and are remunerated timely.
· Administer and support collation of data and student feedback per teaching session, reporting system for trainee performance, and other quality indicators, where applicable.
Placements
· Support with setting up of placement sites and engagement of supervisors.
· Support with placement administration from planning to assessment.
· Support with developing and establishing MOUs with placement sites.
· Ensure that placement sites and supervisors are renumerated timely.
· Liaising placement site and supervisors and communicate unambiguously to provide and/or exchange information accurately in all situations.
· Support the allocation of placement sites for each trainee based on their experience and preference, and placement site’s requirement (each trainee needing to complete two placements across their study).
Research
· Support with allocation of research supervisor.
· Support research supervisor administratively as necessary.
· To work closely with the Finance Manager on finance matters such as managing Programme budget, fee payment, audit of Programme.
· To work closely with Fundraising Manager on matters such as fundraising, scholarship matters.
· To attend to all enquiries and support communication relating to the Programme.
· To support the application, interviews and administration of scholarships.
· To lend secretariate support to Programme committees (Admissions, Curriculum, Examination, Scholarship).
· Lend event management/logistical support for workshops and symposiums.
· To support the publicity and marketing of the Programme such as, but not limited to, road shows, advertising and organising of events (both locally or overseas).
· Assisting the Programme Director, Education Directors and Faculty as necessary for the delivery of teaching including working on specific projects in this area.
· Any other ad-hoc tasks or projects as assigned by the Programme Director and Education Directors.
Job Requirements
· Minimum Bachelor’s Degree.
· Have excellent organisational and managerial skills.
· Demonstrate high levels of autonomy and initiative.
· Ability to multi-task and work with others to plan and prioritise.
· Proficient in Microsoft Office applications such as Word, Excel and PowerPoint.
· Pleasant disposition, meticulous, pro-active.
· Willingness to work on weekday evenings and weekends. Dates will be made known in advanced.
· Good communication skills are also essential in order to engage with the wide range of individuals, stakeholders and groups connected to the Programme.
