About Department and Purpose of the Position

Catering to a spectrum of HR needs in NCIS, we are seeking a motivated individual to provide secretarial and administrative support to Sustainability & Administration teams (portfolio includes Administration, Partnerships, Overseas Collaboration & Redevelopment).

 

Key Responsibilities

Office Administration

  • Manage a professional and organised office environment
  • Manage vendor contracts and track office supplies
  • Assist with departmental IT and network-related matters.
  • Coordinate and track fund applications
  • Develop and implement office procedures to optimise operatonal efficiency
  • Coordinate procurement requests and ensure adherence to company policy
  • Fulfil fire warden responsibilities

 

Project Management

  • Assist in managing and coordinating key projects and initiatives
  • Track progress, meet deadlines, and proactively address any roadblocks
  • Prepare clear and concise project reports and presentatioons

 

Communication and Collaboration

  • Provide exceptional secretarial and administrative support to the department director and team
  • Draft, edit, and proofread professional correspondence, presentations, and reports
  • Organisae internal and external meetings and events, managing logistics and ensuring smooth execution

 

Information Management & Research

  • Implement a well-organised filing system for documents, reports, and records
  • Conduct research and gather information to support informed decision-making

 

Secondary Responsibilities & Duties

  • To take on additional tasks as assigned to support departmental needs

 

Key Requirements

  • Diploma holder with a minimum of 5 years of administrative experience
  • A positive and 'can-do' attitude
  • Desire and ability to provide outstanding service, while upholding respect for others
  • Exhibit professionalism by demonstrating personal accountability, effective work habits, empathy and teamwork
  • Highly organised individual with the ability to exercise good judgement in diverse situations and balance multiple priorities, without sacrificing quality
  • Resourceful and adaptable with strong problem solving skills
