About Department and Purpose of the Position

Provide administrative support for the Breast Imaging Section under the Department of Diagnostic Imaging, ensuring efficient coordination of workflows and timely delivery of services in alignment with departmental goals and service standards.

 

Key Responsibilities

  • Manage and coordinate Breast Imaging appointments and respond to patient enquiries via phone and email within stipulated turnaround times
  • Prepare and organize patient information from Polyclinics using Microsoft Excel for BreastScreen Singapore (BSS) radiologist reporting (R1, R2, R3)
  • Track and follow up on cases requiring recall or further investigation, including preparation of patient discharge / assessment letters under Breast Screen Singapore (BSS)
  • Maintain accurate patient case records within relevant systems (e.g. BSS portal) across the entire care continuum, from referral to case completion
  • Facilitate storage (on/off-site) of patient records/films in compliance to PDPA standards where necessary, with accurate indexing of patient records for retrieval and reference
  • Coordinate closely with Radiographers and Radiologists to ensure seamless operational support and workflow efficiency for Breast Imaging services
  • Provide operational support for Breast Imaging activities and initiatives, ensuring adherence to established protocols and service standards
  • Administrative – Procurement 
    • Initiate Purchase Requisitions (PRs) for medical consumables and general supplies in compliance with NUHS procurement policies
    • Monitor utilization and maintain accurate inventory records for medical consumables and supplies
    • Work collaboratively with Radiographers to ensure optimal stock levels are maintained to support daily operations and minimize service disruptions

 

Key Requirements

  • Preferably Diploma holder and above
  • Minimum 2 years of relevant administrative experience in a healthcare or customer service setting would be an advantage
  • Good IT literacy, with working proficiency in Microsoft Office applications (particularly Microsoft Excel), and ability to learn and adapt to relevant digital systems
  • Strong interpersonal and communication skills, with a patient-centric service orientation and ability to engage multiple stakeholders effectively
  • Meticulous, organized, and demonstrates strong attention to detail in processes and record management
  • Able to work independently with a strong sense of ownership, accountability, and responsibility in delivering operational outcomes
