Overview:
The (Senior) Executive Assistant / Associate Executive will support the day-to-day clinical operations of the Inpatient Dialysis Centre (IDC) and Renal Centre (RC) under the Department of Medicine (Nephrology) which primarily involve performing a coordinator role and to a lesser extent, an administrative billing role. He/She will also be required to support departmental service planning, procurement and quality improvement.
Job Requirements:
- Perform coordinator role in IDC, including managing daily patient station assignments, HD scheduling, virology checks, machine tracking, and master list updates.
- Ensure accurate dialysis station placement based on contact precautions and virology status, including proactive identification and escalation of Hep B/C cases.
- Engage relevant stakeholders to coordinate scheduling arrangements and maintain tracking of certain indicators with key patient and operational details.
- Manage inventory for dialysis, procedure-related items and office supplies, including vendor liaison, raising purchase and sourcing requests within stipulated thresholds, and ensuring consumable supply continuity through regular review of drawdowns and maintaining adequate PO availability.
- Ensure PDPA compliance in all operational matters, including prompt escalation of data protection concerns and following through on resolution processes.
- Cross-coverage of administrative work including claim submissions and billing.
- Support quality improvement projects, CAPEX procurements and any other ad-hoc operational projects as assigned by the Reporting Officer.
Job Requirements:
- Diploma preferably in any of the following - Business Management or Administration, Biomedical Science, Life Sciences.
- Experience in patient coordination in the inpatient setting.
- Effective communication skills.
- Able to multitask and troubleshoot/problem solve effectively.
- Good analytical skills.
- Experience in project management.
- Proficient in Microsoft Excel.
- Proactive and able to work independently.
