Assistant Coordinator, KTP-NUCMI (CDU)
Overview
The Assistant Coordinator is to provide assistance to the multidisciplinary team at CDU (i.e. doctors,
allied health therapists and psychologists) in terms of clinical, administrative and technical support.
Job Responsibilities
You will be responsible for the following:
Primary Duties and Responsibilities
- Appointment Booking
o Opening appointment slots on a half-yearly to yearly basis for clinicians
o Book appointments for waitlisted patients once slots are opened
o Overall in-charge for arrangement of NUH school-aged clinic doctors’ appointments
o Manage patient waitlist with supervision from relevant section heads
o Book and schedule teleconsult appointments on Zoom
o Liase with schools for booking of school visit appointments (for psychologists and/or
learning support educators)
o Reschedule patients when clinicians are on urgent leave or medical leave
o Tracking of clinicians’ schedules and room utilisation matrix
Support in Group Programmes or Talks for Parents/Children
o Prepare information letters for group programmes or talks with supervision from the
trainer(s)-in-charge
o Send out information on therapy / programmes and online talks to parents
o Assist to register parents and coordinate forms / paperwork necessary for caregiver
training programs (e.g. Caregiver Training Grant by AIC)
o Assist in preparation of therapy / programmes materials
o Assist in booking and setting up of rooms
o Ensure room and therapy equipment is cleaned up after therapy / programme is
completed
o Score, scan and upload questionnaires for trainer(s)
- Support in Case Management
o To co-ordinate care for patients and families who have complex needs at the CDU,
with team of doctors and allied health professionals. Care coordination may involve
working with organisations (VWO, preschools) in the communities
o To manage patients on clinical pathways and protocols ensuring data collection and
clinical pathway visits are followed through
o Ensure patients' treatments, and consultations take place promptly and in proper
sequence
o Provide patient education if required
o Act as the point of contact and a liaison between the patient, family and the hospital
- Assist in statistics data collection and reporting
o Assist in management of clinical data collection, including approved database
management platforms (eg. REDcap, FormSG)
o Assist in collating feedback/evaluation forms from group programmes / talks
o Extract clinic visits stats report from relevant hospital systems (e.g. SAP, EPIC), and
organise/update data in excel for clinicians, allied health therapists, and
psychologists (e.g. first visit report, default rate report, diagnosis code report, MOH
claims report)
- Administrative duties
o Assist in setting up inventory list of equipment / supplies / forms
o Perform stock-taking inventory checks of equipment / supplies / forms
o Perform photocopying, binding, filing and distribution of documents and forms
o Perform basic data entry and data retrieval using relevant computer programmes
o Maintain therapeutic equipment and devices
o Assist the therapist in setting up patients on therapeutic equipment
o Assist the therapist in setting up / assisting patients in the performance of
therapeutic activities / exercises during pair and groups
o Raise ITD or ID requests for allied health therapist or psychologist
Secondary Responsibilities and Duties
- Give guidance to junior staff
- Perform any other duties as assigned by the reporting officer

Educational Qualifications
- Possess a diploma in any discipline
- 3 years of relevant work experience preferred (experience in healthcare or social service
sector is an advantage).
