Assistant Manager, COO's Office
Overview*
The Assistant Manager / Senior Assistant Manager is primarily responsible for the procurement of Furniture & Equipment (F&E) for Operations in relation to the planning and development of the Integrated General Hospital (IGH). Following procurement, the Assistant Manager / Senior Assistant Manager will then be part of the team in running services within IGH.
He or she will also be responsible for providing support to the IGH Programme Office and the Digital as Default Workgroup, enabling the successful execution and development of both projects.
Job Responsibilities*
You will be responsible for the following:
Primary Responsibilities (80%)
- Strategic Procurement
- Work closely with user departments on information gathering in preparation for the procurement of F&E.
- Ensure end to end procurement processes are in compliance with procurement policy.
- Responsible for facilitating strategic sourcing projects for services and non-medical supplies categories.
- Establish contracts on time to ensure continuous supply of product and services.
- Driven by MMD, to be the procurement co-lead to guide the evaluation committee to evaluate goods and services proposal from vendors, suppliers and contractor of services.
- Collaborate with MMD to add value through proper negotiation, product standardising or innovative ways of sourcing.
- IGH Programme Office
- As secretariat to plan meeting agenda, manage administrative functions, maintain accurate records, preparing presentation materials and coordinate meetings.
- Digital Transformation
- Administrative support to drive the use of AI and Digital tools to achieve digital as the default way of working amongst Alexians.
Secondary Responsibilities (20%)
- Involve in special projects as assigned.
- Provide administrative support and assistance to Operations Head as required.
- Ensure proper documentation and records to facilitate and validate key activities throughout projects.
- Prepare papers for management approval.
Requirements*
Qualification Required and Area of Discipline
Bachelor’s degree in business administration, supply chain management, or related field.
Required Competencies and Capabilities (Skills, Experiences and Professional Licences)
- Project management skills with prior procurement experience
- Experience with large-scale capital procurement projects (advantage)
- Organised and highly meticulous.
- Resourceful with high level of initiative.
- Team-player with strong interpersonal and communication skills.
- Ability to handle multiple stakeholders and work well within timelines.
- Proficiency in MS Excel, Word, and PowerPoint.
