About Department and Purpose of the Position
Working under the directions of Deputy Executive Director of NUHCS, the research administrative team provides grant administrative support to all NUHCS Principal Investigators (PIs) who obtained research fundings from government and industry sources.
We are inviting candidates to join NUHCS research admin and operation team, to independently manage assigned portfolios of government-funded research grants, ensuring timely, accurate, and compliant grant claims, financial tracking, and audit support, while providing advisory and coordination support to Principal Investigators (PIs) and internal stakeholders
Key Responsibilities
Independent Management of Research Grant Claims
- Independently manage assigned healthcare research grant portfolios, including preparation, verification, and submission of grant claims in accordance with funding agency guidelines (e.g. NMRC, MOH). Plan and track claim schedules and submission timelines across multiple research projects. Review claims for completeness and accuracy prior to PI endorsement.
Advisory Support on Grant Financial Allowability
- Provide first-line advisory support to PIs and research teams on grant cost eligibility, allowability, and budget utilisation, in accordance with approved grant conditions. Serve as the key point of contact for grant administration matters for assigned projects.
Financial Review, Reconciliation & Budget Monitoring
- Review and reconcile grant expenditures against approved budgets and finance system records. Identify overspending risks, budget variances, and compliance concerns early. Recommend corrective actions or adjustments to the PI where necessary.
Stakeholder Coordination & Communication
- Coordinate with PIs, research coordinators, Finance, HR, and Procurement teams to resolve grant-related issues. Escalate complex issues or policy interpretations to the research manager appropriately
Research Grant Compliance, Audit & Reporting Support
- Maintain up-to-date grant registers, claim trackers, and compliance checklists for research projects. Assist in audits, grantor reviews, and institutional monitoring exercises. Support the preparation of financial inputs for research progress or final reports.
Process Improvement & Mentoring Support
- Identify process gaps and propose improvements to grant administration workflows, templates, and tracking tools. Support standardisation of grant administration practices. Provide informal guidance or mentoring to junior administrators where applicable.
Assistance with other duties
- Assist with any other duties, in support of departmental or organizational needs.
Key Requirements
- Bachelor's Degree in healthcare administration, life sciences, business administration, finance, Accounting or a related field.
- Experience handling government-funded research grants in healthcare industry would be advantageous.
- Strong understanding of research grant financial governance
- High attention to detail and analytical ability
- Strong stakeholder engagement and communication skills
- Proficient in Microsoft Excel and grant/finance systems
- Able to work autonomously in a regulated research environment
