The Opportunity:
We are seeking a proactive and detail-oriented Executive Assistant to support JurongHealth Campus Resourcing team. This role plays a key part in delivering a seamless recruitment experience through efficient coordination, administrative excellence, and strong operational support.

Beyond day-to-day recruitment support, you will also contribute to employer branding initiatives, content creation, and process digitalisation, leveraging AI tools and automation to enhance productivity and candidate experience.

 

Job Responsibilities:

1) Recruitment Coordination and Administration

  • Manage end-to-end interview coordination for both direct and agency candidates across multiple hiring teams
  • Liaise with hiring managers and recruiters to schedule interviews efficiently and promptly
  • Prepare and collate candidates’ documents, ensuring completeness and compliance prior to interviews
  • Facilitate smooth interview logistics, including virtual interview setup and communications

 

2) Operational and Administrative Support

  • Process timesheets, invoices, and related documentation accurately and in a timely manner
  • Maintain organised and up-to-date recruitment records, trackers, and shared repositories
  • Provide administrative and operational support for ongoing recruitment activities

 

3) Employer Branding and Design Support

  • Support the team in executing employer branding initiatives across digital platforms
  • Assist in creating simple visual assets and recruitment materials using design tools
  • Coordinate content collection for branding campaigns
  • Ensure consistency in branding and messaging across recruitment materials

 

4) Process Optimisation & Digitalisation

  • Identify opportunities to streamline recruitment processes using automation and digital tools
  • Support implementation of workflow automation or RPA solutions for repetitive tasks
  • Develop and maintain dashboards or trackers to improve visibility and reporting

 

5) Team Collaboration

  • Work closely with recruiters and stakeholders to support hiring needs and initiatives
  • Contribute ideas to improve recruitment operations, candidate experience, and employer branding efforts

 

Job Requirements:

  • Diploma or Degree from a recognised institution
  • 1–2 years of relevant experience in HR, recruitment coordination, administration, or similar roles preferred
  • Strong coordination, organisational, and stakeholder management skills
  • Proficient in Microsoft Office applications (Excel, PowerPoint, Outlook)
  • Familiarity with design tools (e.g. Canva or similar) for basic content creation
  • Comfortable using HR systems, scheduling tools, and digital platforms
  • Exposure to or interest in AI tools, automation platforms, or RPA solutions (e.g. Power Automate, UiPath, etc.) is an advantage
  • A proactive and detail-oriented individual with a strong sense of ownership
  • Someone with an eye for design and interest in employer branding
  • A tech-curious individual who is keen to explore automation and digital tools
  • A team player who enjoys improving processes and enhancing candidate experience
  • Good communication and interpersonal skills
  • Ability to multi-task and manage competing priorities under tight timelines
