Overview

The position holder is responsible for supporting various aspects of the operations. This position requires a blend of administrative, operational, and customer service skills to ensure smooth functioning of the department.

Job Description

  • Manage diet control administration and patient meal-related matters
  • Handle telephone calls, enquiries and feedback. Record and convey messages, follow up and respond as appropriate with relevant departments.
  • Collate and update relevant meal data required by the kitchen for production summaries
  • Generate daily meal summaries via the electronic meal ordering system and distribute to respective kitchen sections for preparation, cooking, dishing, and tray assembly
  • Generate patients' meal chits from the electronic meal ordering system and hand over to the kitchen for meal assembly
  • Maintain a daily report of events and complaints, including actions taken
  • Assist the kitchen team during meal assembly and plating, ensuring all meals are loaded accurately
  • Monitor and track operational KPIs and other measurable indicators on a regular basis
  • Collate and monitor operations reports regularly, highlighting any discrepancies or irregularities to the Reporting Officer
  • Assist in coordinating with Dietitians, Speech Therapists, and the Nursing department on meal requirements
  • Requisition, control, and maintain efficient utilisation of office supplies within the department
  • Order, receive, issue, and perform stock takes of items as assigned
  • Ensure all stock is stored correctly and in accordance with established guidelines
  • Maintain and update the inventory management system regularly
  • Organise and deliver goods from the stores to the relevant departments as required
  • Prepare and write minutes of meetings
  • Perform any other duties as assigned by the Reporting Officer

 

Requirements

  • A minimum Diploma in Food Science, Food Nutrition, or equivalent qualification is preferred
  • A minimum of 2 years of relevant working experience is preferred
  • Strong communication, interpersonal, and phone etiquette skills
  • Strong IT literacy with proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint
  • Hardworking, self-motivated, and able to thrive in a fast-paced, dynamic environment
  • Able to work both independently and collaboratively as part of a team
  • Proficient in both spoken and written English
  • Physically fit and able to perform manual handling, including carrying of heavy items
  • Willing to work a 5-day work week, including shift duties, weekends, and public holidays
