About Department and Purpose of the Position
The Manager / Senior Manager, Pathology Operations is responsible for leading and integrating the operational, administrative and business functions of the Department of Pathology to support safe, reliable, efficient and sustainable pathology services.
Working in partnership with the Head of Pathology, Head of Diagnostics Operations, clinical leaders and corporate functions, the role provides leadership across service operations, workforce planning, finance, informatics, procurement, data governance, performance management and strategic transformation. The role is accountable for translating departmental and institutional priorities into executable operational plans, strengthening governance and enabling the department to meet its clinical service, research, education and development objectives.
Key Responsibilities
Primary Responsibilities
Clinical & Service Operations Management
- Leading operational planning, coordination and performance management of pathology services.
- Monitoring service demand, capacity and operational risks.
- Establishing appropriate governance, escalation and reporting mechanisms.
- Supporting business continuity planning and service recovery arrangements.
- Driving operational improvement initiatives to enhance quality, efficiency and service reliability.
Strategic Planning and Performance Management
- Developing and coordinating departmental strategic plans and annual workplans.
- Partnering Pathologists and MLS leadership to establish priorities, outcomes and resource requirements.
- Defining and monitoring performance indicators, milestones and organisational risks.
- Reviewing performance trends and recommending corrective or improvement actions.
- Preparing management reports, business cases and executive papers to support decision-making.
Pathology Informatics
- Supporting optimisation and enhancement of systems such as EPIC, NBS and Digital Pathology.
- Leading workflow redesign and digital transformation projects.
- Supporting implementation of new technologies and technological refresh initiatives.
- Leveraging data and technology to improve operational performance and user experience.
- Coordinating stakeholder engagement for informatics-related projects.
Leadership Management
- Managing direct and indirect reports.
- Establishing clear performance expectations and accountability structures.
- Developing staff capability and leadership capacity.
- Supporting succession planning and talent development.
- Fostering a culture of collaboration, service excellence and continuous improvement.
Manpower & Performance Management
- Lead workforce planning and deployment of administrative and operational resources.
- Build organisational capability through staff development, succession planning and leadership cultivation.
- Strengthen workforce engagement, communication and team effectiveness.
- Drive productivity and workforce optimisation initiatives.
- Ensure performance expectations and accountabilities are clearly established and regularly reviewed.
- Support departmental workforce transformation and future workforce planning efforts.
Financial Management
- Supporting capital and operating budget planning.
- Monitoring departmental financial performance and expenditure.
- Managing operational aspects of charging and billing processes.
- Supporting fee reviews and benchmarking exercises.
- Providing financial analyses to support decision-making.
Procurement and Contract Management
- Leading procurement and non-procurement submissions.
- Preparing approval papers and supporting governance documentation.
- Managing vendor relationships and contract performance.
- Ensuring compliance with procurement policies and institutional requirements.
- Monitoring procurement timelines, budgets and deliverables.
Transformation and Project Management
- Establishing project scope, governance, implementation plans, milestones and accountabilities.
- Leading productivity, process redesign, automation and service-improvement projects.
- Coordinating clinical, operational, corporate and vendor stakeholders during implementation.
- Managing project risks, dependencies, resources and change-readiness requirements.
- Tracking project delivery, benefits realisation and post-implementation outcomes.
- Representing NUH Pathology in designated institutional and NUHS workgroups.
Secondary Responsibilities
Admin & Ad-Hoc Duties
- Perform admin duties and provide help to the admin team in their duties when necessary.
- Perform any other duties as assigned by superior
Support Group Pathology
- Support Group Pathology’s centralization, harmonization and collaboration initiatives for pathology services rendered across NUHS
- Represent NUH Pathology, lead and/or participate in designated work streams to achieve established targets
Support NUH Redevelopment
- Participate in designated work streams and contribute to designing the future Pathology department at NUH.
Key Requirements
- Recognised degree in Business Administration, Healthcare Management, Operations Management or a related discipline.
- At least 10 years of relevant experience, including a minimum of 8 years in leadership or managerial roles. Experience within the healthcare sector will be an advantage.
- Demonstrated experience in operations, workforce, finance, projects or service transformation.
- Strong leadership, analytical and problem-solving abilities.
- Strong stakeholder-management, communication and influencing skills.
- Ability to manage complex priorities across clinical, operational and corporate functions.
- Experience in pathology, laboratory medicine, diagnostics or another regulated clinical service environment would be advantageous.
