About Department and Purpose of the Position
This role is responsible for driving digital transformation of admin functions in OSS-General Services through technology, automation, analytics and sustainability. Drive digital transformation initiatives, leverage operational data to sharpen decision making, and create smarter, greener and more efficient support services for future projects.
Key Responsibilities
Manage operations, systems as well as review and improve functional units in OSS-General Services.
- Support operational performance and drive continuous improvement across:
- Security Operations
- Carpark Operations
- Mailroom Services
- Telecommunications Systems
- Mortuary Operations
- Audio Visual Services
- General Administrative Services
- Lead the digitalization of General Services workflows and processes through technology adoption.
- Automate contract management, license renewals, inspections and service reminders.
- Review manual processes and identify automation opportunities to improve productivity.
- Collaborate with IT and vendors on system enhancements and technology implementation.
- Evaluate emerging technologies including AI, IoT sensors, smart facility management systems and predictive analytics.
- Establish a data-driven operating model for:
- Carpark Analytics
- Facilities and Services Utilization
- Work with the various functions staff and other NUH departments on sustainability initiatives.
- Energy reduction projects.
- Waste minimisation initiatives.
- Paperless workflow implementation
- Assist in training plans and learning journeys, with emphasis on digital transformation and innovation aligned to departmental needs
- Work with relevant teams to review feedback and incidents, implement corrective action and ensure follow-up of disciplinary reviews or workflow enhancements.
- Perform any other duties assigned by Supervisor.
Key Requirements
- Bachelor’s degree
- Minimum 10 years of administrative and managerial experience
- Good verbal and written communication skills
- Knowledge of workflow automation, process digitalization and continuous improvement methodologies
- Knowledge of AI-enabled productivity tools and digital workplace technologies will be an advantage.
- Strong interpersonal and organisation skills, as well as the ability to lead and work in teams
- A dynamic and motivated individual with a keen interest in continuous improvement and work excellence
- Ability to multi-task and work under tight timelines
