Research Administrator, Orthopaedic Surgery (Contract)
1. Overview:
The Research Administrator will support the Research Director in administering research grants and expanding the Department’s research portfolio. The role serves as a key liaison between PIs, Research Office, Finance, Human Resources, Clinical Research Units and external collaborators to ensure effective grant administration, governance, financial oversight and project execution. The incumbent will support pre- and post-award activities, ensure compliance with institutional and funding requirements, coordinate research operations, guide research teams administratively and perform other relevant duties as required.
2. Job Responsibilities:
- Support PIs with administrative coordination throughout the grant life cycle where applicable (e.g. project budgeting, pre- and post-award submissions, manpower hiring, claims submissions, award activation, project closure)
- Support Research Director on overall tracking of project status and financial monitoring.
- Facilitate timely submissions in accordance with institutional and funding agency requirements.
- Assist with checking for administrative, financial, and workflow considerations, with guidance as needed.
- Coordinate project commencement activities, including account setup, approvals, workflow development, and stakeholder engagement.
- Support Research Director on agreements setup, tracking and administrative follow-up.
- Facilitate study-related administrative processes, including procurement and payment activities support.
- Support Research Director on dissemination of grant calls, funding opportunities, research announcements, and institutional updates.
- Act as a department administrative point of contact for internal and external enquiries.
- Support onboarding and orientation of research staff.
- Facilitate voluntary research requests involving medical students and visiting trainees.
- Assist with research-related system troubleshooting and administrative workflows.
- Support Research Director on departmental initiatives, improvement and strategic projects.
- Other duties or special projects as assigned by Department leadership.
3. Requirements:
Education
- Bachelor's degree in Life Sciences, Biomedical Sciences, or related disciplines preferred.
- Postgraduate qualifications in research will be an advantage.
Experience
- Minimum 1–2 years of relevant experience in research administration, grant management, healthcare administration, academic administration, or related fields, preferably in a support or coordination role.
- Experience supporting clinical research, investigator-initiated studies, industry-sponsored projects, or competitive grant-funded research is preferred.
- Familiarity with research institution, healthcare, academic environments will be advantageous.
Knowledge and Skills
- Basic to good understanding of research grant administration, institutional governance, and compliance requirements.
- Familiarity with research funding bodies.
- Strong project coordination, stakeholder management, and organisational skills.
- Ability to support budget checks, monitor grant expenditures, and assist with financial reports under guidance.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office applications and relevant research administration systems.
- Ability to manage multiple priorities and work independently with guidance in a fast-paced environment.
