About Department and Purpose of the Position
The National University Centre for Oral Health Singapore (NUCOHS) is seeking a dynamic and driven operations professional to play a pivotal role in shaping the day-to-day excellence of our undergraduate dental clinics. This is an exciting opportunity to lead at the intersection of patient care, dental education, and operational innovation, ensuring that our clinics run seamlessly while supporting the next generation of oral healthcare professionals.
As a key member of the team, the successful candidate will serve as the critical bridge between clinical, academic, and administrative functions, driving service quality, staff effectiveness, and operational readiness across the clinics. Beyond managing teams and systems, this role offers the opportunity to influence meaningful improvements in care delivery, optimise resources, strengthen compliance, and contribute to an environment where both patients and learners can thrive.
The key deliverables of this role is to (1) plan, lead and coordinate the Clinics’ operations, ensuring seamless patient flow and optimal resource allocation, (2) oversee equipment and device lifecycle management, including compliance and licensing, and (3) oversee training and development programs for staff, fostering a culture of continuous learning and innovation.
We are looking for an agile operations professional who can drive service excellence, strengthen team performance, and enhance both patient experience and dental education at NUCOHS.
Key Responsibilities
Clinic Operations & Staffing
- Supervise about 30 staff across UG Clinics
- Act as key liaison for clinical and teaching matters
- Ensure effective staff deployment and resource use
- Monitor performance and drive improvements
- Coordinate rostering to maintain service continuity
Equipment & Vendor Management
- Draft specs and oversee equipment procurement and commissioning
- Evaluate investments, raise POs, and monitor vendors
- Coordinate maintenance, repairs, and spare parts
- Oversee equipment decommissioning and disposal
Quality, Risk & Compliance
- Manage patient feedback, incidents, and accidents
- Act as liaison with NUCOHS and key stakeholders
- Coordinate responses and service recovery actions
- Support responses to MOH and other statutory queries
- Support audits and manage auditor coordination
Systems & Clinical Support
- Coordinate ID setup and system access for new staff
- Ensure timely system activation for new students and staff
- Support rollout of clinical systems and platforms
- Bridge clinical teams and IT to resolve system issues
Planning & Resources
- Support planning, budgeting, and resource optimisation
- Align resources with service and sustainability goals
Additional Duties
- Ensure compliance with hospital policies and governance standards
- Support department-level operations, reporting, and coordination
- Undertake additional projects as assigned
Key Requirements
- Bachelor degree from a recognised institution
- Strong analytical and data interpretation skills
- Strong communication, presentation, and stakeholder management skills
- Self-driven and able to work independently under pressure
- Proactive, accountable, and solutions-oriented
- Adaptable in fast-paced and evolving environemnts
- Proficient in Microsoft Office and automation tools (e.g. Word, Excel, PowerPoint, Power Automate, Power Query)
