About Department and Purpose of the Position

To provide administrative and operational support to two divisions in the Department of Surgery, with focus on process improvement, workflow optimisation, and adoption of digital tools and automation to enhance efficiency, accuracy, and turnaround time.

 

Key Responsibilities

Scope of Work for assigned divisions:

 1. Medical Report Management & Workflow Optimisation

  • Coordinate, track, and process medical report requests from the Medical Records Office (MRO), ensuring completion within required turnaround times.
  • Implement and maintain tracking systems (e.g. dashboards, automation tools) to improve visibility and reduce delays
  • Analyse bottlenecks and introduce process improvements and automation (e.g. reminders, tracking logs) to streamline follow-ups with clinicians.

 

2. Claims Administration & Process Improvement

  • Process conference and non-conference claims for clinicians in accordance with institutional policies and timelines.
  • Review and streamline claims submission workflows, including use of digital tools/templates to improve efficiency and accuracy.
  • Explore and implement automation (e.g. checklists, validation tools, tracking systems) to reduce manual errors and processing time.

 

3. Professional Development Support (Digitalisation Focus)

  • Ensure timely and accurate submission of CME points to the SMC portal.
  • Enhance efficiency through use of digital tools and process standardisation to minimise omissions and delays.

 

4. Training, Observership / Proctorship Coordination

  • Coordinate documentation and workflows for observership/proctorship arrangements with clinicians and HR.
  • Develop and maintain standardised workflows, templates, and tracking systems to improve coordination and turnaround time 

 

5. Procurement & Process Standardisation

  • Raise procurement requests in compliance with institutional policies.
  • Identify opportunities to streamline procurement workflows, including use of templates, tracking tools, and process improvements to reduce cycle time.

 

6. Meeting Administration (Efficiency Enhancement)

  • Coordinate, including logistics, for divisions’ M&M, journal club etc meetings
  • Leverage digital tools to improve efficiency and reduce manual effort for attendance taking

 

7. Process Improvement, Automation & Digital Initiatives

  • Proactively identify inefficiencies in administrative workflows and propose improvements.
  • Lead or support implementation of automation solutions and digital tools (e.g. low-code platforms, AI-assisted tools) to optimise processes
  • Develop standard operating procedures (SOPs), templates, and tracking systems to enhance consistency and governance.
  • Monitor outcomes of implemented improvements and recommend further enhancements.

 

8. Others

  • Support and participate in additional administrative and process transformation initiatives as assigned to enhance division/department operations.

 

Key Portfolio Ownership - Point of contact for AC & above leave applications and call claims matters. 

  • Process leave applications and ensure that the applications are submitted timely and type of leave selected are in accordance to institution policies.
  • Process call claims submitted and ensure that the claims are in accordance to institution policies.

 

Departmental & Other Responsibilities

  • Yearly coordination of meeting rooms bookings for CME accredited meetings within the department
  • Execute other administrative initiatives and special projects as assigned to support departmental objectives.

 

Ad-hoc / Rotational Duties

  • Support departmental events
  • Participate in pantry maintenance rotation

 

Key Requirements

  • Minimum Degree qualification or equivalent. Further education or certification in healthcare administration is a plus.
  • Minimum of 3 years of administrative experience, preferably in a healthcare setting
  • Proficiency in Microsoft 365 tools such as Copilot, TEAMS, Power Automate etc
  • Strong planning and organisational abilities, with the capacity to manage multiple tasks and deadlines effectively.
  • Clear and professional verbal and written communication skills.
  • Able to work both independently and collaboratively within a team.
  • Adaptive to changes in workflows, with the use of technology and automation tools to improve work efficiency.
