About Department and Purpose of the Position

Join us if you are a driven individual interested in medical technology and keen to shape the future of cancer care for residents in Western Singapore till 2060 together with a visionary Radiation Oncology team!

You will play a key role in driving the strategy, partnerships, and major projects within NCIS Radiation Oncology. This is a high-exposure role supporting cross-institutional initiatives, including collaboration with public healthcare institutions, external vendors, and internal clinical and administrative stakeholders. The role requires a strong combination of stakeholder management skills and execution discipline — you will be expected not only to engage external parties and shape outcomes, but also to drive timelines, manage complexity, and ensure delivery under tight deadlines.

Key Responsibilities

Cross-institutional Partnerships & Project Delivery

  • Coordinate for cross-cluster programmes and partnerships, including engagements with external hospitals and stakeholders
  • Build and maintain effective working relationships across stakeholders with differing priorities
  • Drive project execution by tracking milestones, risks, and dependencies across multiple concurrent workstreams
  • Lead preparation of materials for external engagements, funding discussions, and senior management updates
  • Provide structured secretariat support for major workgroups, including meeting coordination, documentation, and action tracking

 

Procurement Strategy, Vendor Engagement & Contract Execution

  • Drive coordination of procurement workstreams for major equipment and technology initiatives
  • Serve as a key interface with vendors, procurement, and internal stakeholders to align technical, operational, and commercial requirements
  • Support negotiation processes by consolidating positions, identifying trade-offs, and addressing risks
  • Maintain oversight of tender specifications, evaluation frameworks, and contract deviation logs
  • Ensure timely follow-up and closure of vendor clarifications, approvals, and contractual matters

 

Project Governance, Data & Execution Discipline

  • Establish and maintain robust tracking systems for project timelines, deliverables, and vendor commitments
  • Ensure proper documentation, audit trails, and governance of key processes
  • Monitor and follow up on outstanding work items to ensure timely closure
  • Support implementation of technology and operational processes by coordinating stakeholders and resolving bottlenecks
  • Identify and implement improvements to workflows, tracking systems, and reporting processes

 

Administrative Coordination, Onboarding & Culture Support

  • Support onboarding of new staff, including coordination of orientation schedules, access setup, and familiarisation with departmental workflows and systems
  • Support department-wide administrative coordination, including consolidation of information, documentation, and communication across teams
  • Contribute to initiatives that improve team processes, workflow efficiency, and overall working experience within the department
  • Assist in organising departmental activities related to staff engagement, communication, and culture-building

 

Key Requirements

  • Bachelor’s degree in Healthcare Administration, Business, or a related field.
  • 3–5 years of relevant experience in healthcare administration, project management, partnerships, or procurement. Experience working with external stakeholders (e.g. vendors, public healthcare institutions) preferred.
  • Strong stakeholder management and communication skills, with ability to engage and manage external partners effectively.
  • Strong analytical and problem-solving skills, with ability to synthesise complex information into actionable outputs.
  • Highly organised and detail-oriented, with the ability to manage multiple timelines and deliverables concurrently.
  • Strong sense of ownership and accountability, with ability to work under tight timelines and see tasks through to completion.
  • Resilient and adaptable in managing ambiguity and evolving project requirements.
  • Proficiency in M365 suite including Excel, PowerPoint and data tracking tools. AI literacy is a requirement.
