As a member of Precinct Planning and Development Department under Regional Health Systems Office (RHSO), you will play a key role in shaping this ecosystem—bringing internal and community stakeholders together, coordinating initiatives, and integrating health and social support systems to enhance the delivery of community care and improve health of the population. This role is ideal for someone who is detail‑oriented, proactive, and able to coordinate multiple moving parts efficiently—especially in supporting meetings, tracking deliverables, and ensuring smooth execution of activities.

Job Responsibilities

  • Secretariat Support

    • Provide full secretariat support for internal and external meetings and workgroups (e.g., scheduling, agenda setting, documentation).
    • Prepare and circulate meeting materials, minutes, action items, and follow-up trackers.
    • Coordinate logistics for workshops, engagements, and stakeholder sessions.
    • Maintain centralised records, shared folders, and version control for documents.

    Project Coordination & Management

    • Support project leads in planning, tracking, and implementing workplan activities.
    • Assist in monitoring project progress, timelines, deliverables, and escalation of issues where needed.
    • Consolidate inputs/data from stakeholders to support planning or reporting.
    • Plan, support and administer pilot programmes, precinct initiatives, or operational tasks where required
    • Prepare decks, summaries, and materials for presentations or briefings.

    Stakeholder Engagement & Communication

    • Collaborate with internal and external parters to achieve strategic goals
    • Draft communication materials (emails, updates, notices) for workstream coordination.

    Other Duties

    • Support any other administrative or operational tasks as assigned by the team.
    • Assist with ad-hoc requests related to project management or secretariat functions.

Qualification & Job Requirements

  • Bachelor’s degree in any discipline.
  • Strong organisational skills with the ability to manage multiple tasks efficiently.
  • Excellent written and verbal communication skills.
  • Meticulous, with attention to detail and accuracy.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint).
  • Able to work independently and as part of a team.
  • Prior experience in secretariat or project coordination roles is advantageous.
