About Department and Purpose of the Position

The Senior Executive provides comprehensive administrative support and coordination for patient service associate management, recognition programs and nursing operations within the hospital. They are responsible for managing various portfolios related to patient service associates, nursing awards, and IT/educational operations that support the growth and recognition of nursing staff.

 

Key Responsibilities

Primary Responsibilities

Patient Service Associate (PSA) Management

  • Support PSA role redesign initiatives, collaborating with stakeholders to enhance and expand PSA responsibilities in line with evolving healthcare needs.
  • Facilitate career progression planning for PSAs, including developing career ladders and identifying growth opportunities within the organization.
  • Coordinate training & development programs and enhance PSA competencies through regular meetings and targeted training sessions.
  • Oversee Inpatient SA Manpower Operations, including recruitment, retention, and special manpower requirements. Prepare and support Service Team Leads in managing PSAs and assisting nursing teams with value-adding tasks.
  • Standardize operational workflows across departments and provide support for system-related issues, including troubleshooting and problem-solving for urgent matters.
  • Participate in the annual PSA Day committee, coordinate PSA Day Awards, and represent the department in cross-functional project teams.
  • Engage in national-level, cross-cluster, and cross-institutional projects (e.g., National Billing System, NGEMR):
    o Contribute to workflow design/redesign and system enhancement planning
    o Support projects go-live activities and change management initiatives
    o Act as a liaison between PSA team and project groups, ensuring effective communication
    o Gather and incorporate feedback for continuous improvement of national-level systems
    o Stay informed about healthcare information system developments and their impact on PSA roles
  • Act as a liaison between the PSA team and project groups, ensuring effective communication and implementation of new processes and systems.
  • Gather feedback from PSAs and other end-users to contribute to continuous improvement of these national-level systems.
  • Stay informed about the latest developments in healthcare information systems and their potential impact on PSA roles and responsibilities.

Nursing Awards Management

  • Manage the end-to-end process for various nursing awards, including but not limited to MOH Merit Award, Humanity Award, Nightingale Award, and Tan Chin Tuan Award, President's Award for Nurses, and National Day Award (Efficiency Award and Commendation Award).
  • Coordinate nomination processes, compile and review submissions, and liaise with relevant departments and external bodies.
  • Organize award ceremonies and recognition events, ensuring smooth execution and positive experiences for awardees.

IT / Educational Operations

  • Oversee the management of Nursing Education training facilities and equipment, including operational issues, maintenance, purchasing, and replacement.
  • Coordinate IT projects related to Nursing Administration, such as Medical Devices Integration (MDI) replacement and MyChart Bedside implementation.
  • Support the day-to-day IT operations in Nursing wards.
  • Ensure optimal functionality and availability of training resources and IT systems for nursing staff.

Secondary Responsibilities and Duties (20%)

  • Support other nursing administration and/or education initiatives as required.
  • Assist in the organization of nursing-related events and workshops.
  • Contribute to the development and improvement of administrative processes within the department.
  • Undertakes any other tasks assigned by the Section Heads, Deputy Director of Nursing and Chief Nurse.

 

Key Requirements 

  • Bachelor’s degree in business administration, Arts and Social Sciences, or equivalent.
  • Strong proficiency in MS Office suite and aptitude for learning new software applications.
  • Keen interest in healthcare operations and willingness to quickly adapt to the hospital environment.
  • Demonstrated ability to thrive in dynamic, fast-paced work environments.
  • Strong organizational and project coordination skills, with the ability to manage multiple tasks and priorities simultaneously in a fast-paced healthcare environment
  • Excellent communication and interpersonal skills, with the ability to interact effectively with staff at all levels, both verbally and in writing
  • Demonstrated ability to work both independently and collaboratively, supporting leadership initiatives and contributing effectively to team efforts
  • Strong problem-solving and analytical skills, coupled with adaptability and openness to change
  • Proactive approach to process improvements and willingness to support change management initiatives
