Senior Executive Assistant, HR Group Shared Services

You will be part of the HR Group Shared Services team that provides HR operational support for contract management services to all institutions under NUHS cluster.  The core operations of the team focus on supporting employee life cycle events such as probation confirmation, employee transfer, conversion of working hours, conversion of employment terms, contract renewal, post-retirement re-employment, post-basic incentive payment or salary adjustment upon attainment of higher qualifications, as well as staff referral incentive payout.  You provide the administrative support that is in compliance with HR policies and established processes, and ensure that services are delivered in a consistent, timely and high‑quality manner in accordance with the service level agreement.

 

Job Responsibilities: 

  • Provide HR administrative support for the assigned portfolio, covering employee life cycle events such as probation confirmation, employee transfer, conversion of working hours, conversion of employment terms, contract renewal, post-retirement re-employment, post-basic incentive payment or salary adjustment upon attainment of higher qualifications, as well as staff referral incentive payout. 
  • Be aware of and deliver services in compliance with HR policies and established processes, ensuring that the services are delivered in a consistent, timely and high‑quality manner in accordance with the service level agreement.
  • Update work trackers timely and accurately so that they serve as reliable data sources for monthly SLA reporting and productivity studies.
  • Contribute to the knowledge repository for Contract Management team, participate in process documentation review and update as well as systematically identify requirement for new/revised documentation in line with evolving operational needs.
  • Participate in cross-training of team members for knowledge-sharing to ensure consistent service delivery.
  • Provide on-site support physically at the assigned work location and upkeep the service experience of stakeholders.
  • Provide support to management in the review, development and implementation of processes; this may include preparing adhoc reports and gathering information as and when required for management analysis and decision-making.
  • Contribute to the achievement of department workplans by proactively working on projects assigned.
  • Be well-versed in the assigned portfolio and partner with stakeholders to deliver consistent administrative and advisory support.
  • Proactively identify potential areas for improvement and work collaboratively with team members to develop effective solutions that enhance productivity, elevate work quality, and address service delivery gaps.
  • Perform any other duties assigned by the management for growth and expansion of skillsets.

 

Candidate Requirements:

  • Diploma in Human Resource or Business-related discipline.
  • At least 1 year of Human Resource work experience.
  • Proficient in SAP SuccessFactors and MS Office suite especially MS Excel.
  • Interested in exploring technological system solutions to automate repetitive tasks.  Prior hands-on experience with PowerAutomate and Robotic Process Automation (RPA) is an advantage.
  • Keen learner, meticulous, proactive and strong team player with good interpersonal skills.
  • Capable of managing high-volume HR activities while ensuring data confidentiality.
  • Able to work effectively under tight deadlines and adjust to shifting priorities.
