About Department and Purpose of the Position

The Operations & Administration Senior/Executive Assistant plays a vital supporting role in keeping NCIS running smoothly on a day-to-day basis, while also contributing to innovation and continuous improvement initiatives within a national cancer centre setting.
This role is ideal for a fresh or early-career graduate who is organised, curious, and eager to learn. You will gain hands-on exposure to healthcare operations, process improvement, and cross-departmental coordination – working closely with clinicians, administrators, and corporate teams.
Beyond routine operations, the role offers opportunities to participate in innovation pilots, improvement projects, workshops, and knowledge management efforts, making it an exciting launchpad for a career in healthcare operations and administration.

 

Key Responsibilities

Support knowledge management efforts

  • Follow established SOPs and workflows to support operational and improvement processes.
  • Assist in documenting processes, updates, and lessons learnt for knowledge sharing and continuity.
  • Flag operational issues, inefficiencies, or improvement opportunities observed during daily work.

 

Contribute to improvements and innovation initiatives

  • Maintain simple trackers for improvement ideas, pilots, and initiatives (e.g. status, timelines, stakeholders).
  • Assist with data collection, collation of feedback, and preparation of basic materials (slides, summaries).
  • Support organisation of innovation-related activities such as workshops, meetings, or learning visits.

 

Support day-to-day operations and administrative activities across NCIS

  • Provide day-to-day administrative and operational support to the NCIS Ops & Admin team.
  • Assist in coordinating operational workflows, including tracking requests, follow-ups, and timelines.
  • Support documentation, filing, and maintenance of records in accordance with internal requirements.

 

Maintain trackers, documentation, and reports

  • Maintain trackers (e.g. Excel) for operational requests, approvals, innovation initiatives, and follow-up actions.
  • Support collation of information for management updates, audits, or internal reporting.
  • Ensure accuracy, completeness, and timeliness of records and submissions

 

Coordinate meetings, workshops, and operational activities

  • Coordinate with internal stakeholders (e.g. NCIS departments, NUH corporate teams) on operational and administrative matters.
  • Support scheduling of meetings, preparation of agendas, and collation of materials.
  • Assist with logistics for NCIS activities, events, or operational initiatives.

 

Key Requirements

  • Diploma preferably in Business Administration, Management, Healthcare Administration or related fields
  • Strong organisational skills and attention to detail.
  • Comfortable with Microsoft Office applications (Excel, Word, PowerPoint, Outlook).
  • Able to follow structured workflows and SOPs.
  • Good communication and coordination skills.
  • Responsible, organised, and able to work independently and as part of a team.
  • Interest in healthcare operations, innovation, or process improvement is an advantage.
