Senior / Executive Assistant - Medical Social Work Department
We are seeking a dedicated and efficient Senior / Executive Assistant to join our Medical Social Work Department. This role involves providing crucial administrative support to the department, working closely with the Team Lead for Social Work Coordinators, and reporting to the Head of the Department. The ideal candidate will be an excellent communicator, proficient in Microsoft Office, and able to manage multiple tasks in a fast-paced healthcare environment.
Key Responsibilities:
- Manage the public-facing aspects of the department, including handling queries from patients and family members via counter service, phone, and email.
 - Oversee and manage the department's email inquiries.
 - Support the generation and analysis of monthly reports.
 - Collaborate with external departments within the hospital and cluster to address work processes and improve efficiency.
 - Work with external stakeholders to facilitate meetings and engagement sessions.
 - Provide administrative support to social workers and coordinators in service delivery for patients.
 - Utilize Microsoft Office and other departmental information systems effectively.
 - Support the daily operational and administrative needs of the department.
 - Assist in maintaining and communicating work processes with internal and external stakeholders.
 
Requirements:
- Educational Qualification: Diploma, O Level, or ITE Graduate (Nitec & higher Nitec)
 - Proficiency in Microsoft Office suite and ability to learn new information systems quickly
 - Excellent communication skills, both written and verbal
 - Strong ability to multi-task and work effectively in a team environment
 - Good organizational and time management skills
 - Attention to detail and accuracy in work
 - Customer service-oriented with a professional demeanor
 - Ability to work with a diverse range of stakeholders
