Senior Executive / Assistant Manager, Children's Emergency (CE)

Overview and Purpose of the Position:

 

The staff will be responsible for providing operational and administrative support to the Children’s Emergency (CE) under National University Centre for Women & Children (NUWoC). This would involve supporting and developing effective clinical operations (e.g., processes, management of service staff etc) to provide a good care experience for patients, while maintaining financial sustainability.

 

Primary Responsibilities:

 

  1. Ensure effective operations at CE through close collaboration with Clinicians, Nurses and Allied Health colleagues. The operational duties include (non-exhaustive):
    1. Facilities management
    2. Centre procurement (e.g., CAPEX)
    3. Communications and publicity (e.g., drive right siting of care messages, management of CE information board and TV panel)
    4. Quality assurance (e.g., audits, licensing etc)
    5. Tracking of key indicators and submission of reports (e.g., to NUH management and Ministry of Health)
    6. Re-development plans (e.g., support section head in gathering requirements for future CE plans)
    7. Profit and loss management (e.g., initiatives to reduce income leakages and improve income generation and collection)

 

  1. Support EMD to drive patient experience at CE
    1. E.g., support, be part of a team that drives patient experience scores by improving processes such as optimising patient wait time and improvement of care environment.

 

  1. Lead continuous improvement and knowledge management (e.g., proper documentation and standard operating procedures) for CE (e.g., for audits)

 

  1. Mass casualty incident (MCI) and business continuity management (MCI, e.g., secretariat for MCI, support the department in rolling out
    1. Coordination of MCI related activities (e.g., capacity and capability building – e.g., maintenance of MCI related training records)

 

Secondary Responsibilities:

 

  1. Provide ad-hoc support to publicity events organised by department and partners
  2. Cross coverage of Clinical Operations Duties
  3. Department’s data protection representative (e.g., act as representative to support data protection initiatives within KTP-NUMCI)

 

Job Requirements:

 

  • Bachelor’s degree, preferably in business and healthcare related disciplines
  • At least 3-5 years of working experience, preferably in healthcare clinical operations and management
  • Ability to plan strategically and maintain a keen eye for detailed implementation.
  • Excellent interpersonal, communications and change management skills (e.g., for stakeholder and staff engagement)
  • Strong analytical skills, good time management and result orientated.
  • Effective problem-solving skills.
  • Excellent IT skills in areas such as Microsoft Office applications, databases (Tableau).
