About Department and Purpose of the Position
The Senior Executive / Assistant Manager will be the key liaison person between NUHS Research Office and the Department on research administrative matters. You will also be required to oversee a staff and formulate policies, procedures and Standard Operating Procedures to enhance efficiency, effectiveness, and compliance within the Department.
Key Responsibilities
Research grant support in the Department
- Provide comprehensive support to NUH and NUS Principal Investigators (PI) in the Department on research grant-related matters throughout the grant period encompassing grant applications, ethics compliance management, pre and post award activities and grant management. Responsibilities includes the setting up of research account, assisting PI to utilise the funds, tracking of grant funds, review of grant claims and timely submission of progress reports to grantors.
- Research Database Administration: Maintain and systematically update Department database of the Department's research portfolio, including active grants, clinical trials, and any research initiatives in NUH and NUS.
- Stakeholder Relations and Automation Workflow Management: Serve as the primary liaison with internal and external stakeholders in NUH and NUS to design, automate, and continuously optimize workflows, proactively resolve operational challenges, and ensure seamless compliance with grantor requirements, institutional policies, and approved budget parameters throughout the grant periods.
Research Database Management
- Maintain the Department’s NUH & NUS research team list and perform review of system access applications to ensure appropriate authorization levels for these research team members.
- Monitor and update departmental research funding portfolios with regular tracking of fund utilization and expenditure analysis to ensure optimal resource allocation.
- Systematically compile and catalog research publications from peer-reviewed journals across multiple platforms to maintain a comprehensive departmental publication database.
- Conduct joint reviews with NUH and NUS Principal Investigators (PI) and internal stakeholders to assess research agreements and subaward letters (where applicable) for collaborative research projects and clinical trials.
Training
- Provide comprehensive training and guidance to research team members after being certified as a certified EPIC Credentialed Trainer, ensuring optimal system utilization and compliance.
- Guide new clinicians embarking on their research projects and new research initiatives
Other Research-related Matters
- Supervise and manage research administrative staff in the Department to ensure smooth department operations
- Contract liaison officer for NUH and NUS research agreements matters, including review, extension and variation
- Collate and consolidate research statistics such as awarded grants, publications and performance indicators for NUH and NUS Department of Surgery
- Facilitate knowledge dissemination for research related information to the Clinicians/Research community in the NUH and NUS Department of Surgery
- Process and submit new research study requests in EPIC for research teams
- Assist Research Director/HoD for ethics portal management and regulatory compliance matters
- Execute additional research-related administrative initiatives and special projects as assigned to support departmental objectives.
Key Requirements
- At least a Bachelor in any discipline with 3 years of work experience, and preferably with knowledge in supporting administration in research.
- Excellent organizational skills and ability to set priorities and meet challenging deadlines
- Self-directed individual with initiative, analytical and problem-solving skills with strong project management skills
- Excellent interpersonal skills with the ability to build collaborative, trustworthy relationships across institutions and functions
- Ability to work in a fast-paced environment and to manage multiple priorities and stakeholders
