Senior Executive / Assistant Manager, Research Administraton, Ophthalmology (Contract)
Overview:
To provide comprehensive administrative, regulatory, and operational support for clinical trial research conducted within NUHS institutions. The role reports to the Administrator Lead and supports the Research Director in ensuring effective governance, regulatory compliance, and performance reporting aligned with NUHS policies, national regulations, and GCP standards.
Job Responsibilities:
1) Clinical Trial Research Administration:
- Provide end to end administrative support for NUHS led, sponsor initiated, and investigator initiated clinical trials from study start up to close out.
- Coordinate study documentation including protocols, amendments, investigator brochures, and essential trial documents.
- Support Principal Investigators (PIs) and study teams to ensure adherence to NUHS research policies, sponsor requirements, and regulatory obligations.
- Oversee the accuracy of Trial Master Files (TMF), regulatory binders, and maintain the institutional research records.
2) Regulatory, Ethics & Compliance Coordination:
- Coordinate submissions to DSRB / IRB, HSA, and other relevant regulatory bodies in accordance with NUHS requirements.
- Track ethics approvals, continuing reviews, protocol amendments, safety reporting, and expiry timelines.
- Ensure compliance with ICH GCP, NHG/NUHS research governance frameworks, and sponsor agreements.
3) Grants, Contracts & Financial Administration
- Support preparation and administration of clinical trial budgets and funding documentation in line with NUHS finance and grants policies.
- Work with finance and grants offices on invoicing, claims, financial reconciliation, and audit requirements.
- Support contract administration activities, including tracking of agreements and amendments.
4) Support to Administrator Lead:
- Provide regular updates, reports, and operational feedback to the Administrator Lead on clinical trial administration matters.
- Support implementation of NUHS administrative policies, SOPs, and departmental initiatives.
- Assist in resource tracking, workload monitoring, CRCs/RAs leave coverage and research administration.
5) Support to Research Director
- Provide direct administrative and coordination support to the Research Director for clinical research related matters.
- Prepare management reports, dashboards, briefing papers, and presentations for NUHS senior management and committees.
- Support tracking and reporting of clinical trial portfolio metrics, KPIs, milestones, and strategic initiatives.
6) Stakeholder Engagement:
- Act as a liaison with NUHS central offices, sponsors, CROs, institutional departments, and internal research stakeholders.
- Facilitate communication between the Administrator Lead, Research Director, PIs, and study teams to ensure alignment and timely execution.
7) Process Improvement & Leadership (Assistant Manager Level):
- Review and enhance clinical trial administrative workflows and standard operating procedures within NUHS.
- Support audits, inspections, and quality improvement initiatives.
- Provide guidance and mentoring to junior research administrative staff where applicable.
Job Requirements:
1) Qualifications:
- Degree in Life Sciences, Health Sciences, Nursing, Business Administration, Public Administration, or related disciplines.
- Familiarity with NUHS / public healthcare research environment is an advantage.
2) Core Skills & Competencies:
- Strong knowledge of clinical trial administration, regulatory processes, and governance frameworks.
- Excellent organisational, coordination, and documentation skills.
- Strong stakeholder management and communication abilities.
- High attention to detail, accuracy, and confidentiality.
3) Experience Profile:
Senior Executive Level:
- 1–2 years of relevant experience in clinical trial, research administration or healthcare operation preferably within a public healthcare or academic medical centre.
- Experience coordinating DSRB/IRB submissions, regulatory documentation, and compliance tracking.
- Experience working with investigators, sponsors, CROs, and institutional offices.
Assistant Manager Level:
- 2–3 years of progressive experience in clinical trial, research administration or healthcare operation.
- Experience reporting to an administrative or operational lead within NUHS or equivalent institutions.
- Experience supporting senior leadership and contributing to audits, governance, and process improvement initiatives.
- Supervisory or mentoring experience is an advantage.
