About Department and Purpose of the Position
This Snr Executive / Asst Manager will support the Data, Informatics, Digital and Population Health portfolio at the National University Cancer Institute, Singapore (NCIS).
This role provides essential project support and coordination assistance between NCIS and key enterprise partners including the Group Medical Informatics Office (GMIO) and Group Cluster Technology Office (GCTO), supporting the planning, implementation, and optimization of digital and data systems, informatics workflows, and programmatic data initiatives.
The successful candidate will provide project administration expertise and technical understanding to support digital transformation, operational data initiatives, and informatics system improvements that enhance care delivery, operational efficiency, and organisational decision-making.
Key Responsibilities
Medical Informatics and Digital Systems Coordination
- Serve as point of contact for NCIS users with digital systems enquiries, informatics workflows, and system enhancement requests
- Assist in coordination activities between NCIS and enterprise partners such as GMIO and GCTO for change requests, system updates, and workplans related to clinical and operational systems
- Support user discussions for system enhancements, workflow optimisation, and testing of informatics solutions
- Assist with change management activities for new system implementations and updates
- Support technical discussions and requirements gathering for digital systems and informatics platforms
- Assist in organising coordination meetings with stakeholders to ensure project requirements and milestones are met
- Support project timelines and deliverables in monitoring collaboration with enterprise IT teams
Programme and Project Management
- Provide administrative support for projects within the Data, Informatics, Digital and Population Health portfolio from initiation to completion
- Support project planning, workstream coordination, and resource alignment
- Organise and coordinate project meetings, prepare minutes, and track action items
- Monitor project timelines, budgets, and deliverables to ensure successful execution
- Assist in developing project plans documentation, risk registers, and stakeholder communication plans
- Support coordination activities across operational, clinical, technical, and administrative stakeholders
Operational Data and Informatics Support
- Support the coordination and management of programme and operational datasets used for organisational reporting, service planning, benchmarking, quality improvement and value-driven outcomes initiatives
- Assist in the organisation and documentation of data assets used within NCIS programmes and enterprise initiatives
- Support data governance practices including documentation of data sources, workflows, and access controls
- Work with internal teams to ensure data quality consistency, and appropriate use of operational data systems
- Support enterprise informatics teams on system enhancements that support data capture and reporting
- Maintain and update documentation of data workflows and operational reporting processes
External Healthcare Collaboration Projects
- Project management support for collaborations with healthcare institutions, agencies, and industry partners
- Assist in coordinating operational and technical requirements across institutions
- Support the implementation of multi-institutional digital healthcare initiatives
- Ensure documentation aligns with national healthcare policies, informatics standards, and governance frameworks
Quality Assurance and Process Improvement
- Support quality assurance processes for system implementations and digital workflow changes
- Identify opportunities for workflow optimisation and operational system improvements
- Maintain project documentation, system documentation, and knowledge repositories
- Ensure adherence to organisational policies, security requirements, and informatics standards
Stakeholder Management and Communication
- Support collaborative relationships with internal and external stakeholders
- Assist as liaison between clinical users, operational teams, and enterprise IT teams
- Prepare project progress reports, presentations, and updates for leadership
- Communicate information clearly to both technical and non-technical stakeholders
- Support workshops, training sessions, and user engagement activities
Institutional Support & Flexibility
- Undertake other responsibilities as assigned by the Reporting Officer or Department Head.
- Provide flexible support for cross-team initiatives and evolving institutional priorities.
Key Requirements
- Bachelor’s degree in Project Management, Information Technology, Health Informatics, Engineering, Business Analytics, or related field
- Minimum 2-3 years of project management or programme coordination experience, preferably within healthcare, digital health, or informatics environments
- Experience supporting system implementations, digital platforms, or operational data initiatives
- Strong organisational skills and ability to manage projects across multiple workstreams
- Proficiency in project management tools (e.g. MS Project, Jira, Agile frameworks)
- Strong analytical thinking and problem-solving skills
- The following experience or certification would be an advantage
- PMP or equivalent project management certification
- Experience working with healthcare digital systems, enterprise IT platforms, or informatics initiatives
- Understanding of healthcare operational workflows
- Familiarity with data governance, system integration, and digital transformation initiatives
- Experience supporting cross-institutional healthcare projects or national initiatives
