About Department and Purpose of the Position

The incumbent will provide operational support to the Therapeutic Operations Section, encompassing Rehabilitation, Dietetics, and Medical Social Work services. Key responsibilities include supporting process improvement initiatives, managing capital and operating budgets, harmonising departmental workflows, streamlining processes, and providing data analytics support. The role involves project management and strategic deployment to enhance manpower productivity, as well as implementing frameworks and supporting IT projects to improve patient experience.

 

The incumbent will collaborate closely with Section In-Charges to ensure seamless operations and deliver Incredible Care to patients and staff.

 

Additionally, the incumbent will assist the Senior Assistant Manager and Head of Therapeutic Operations Section with projects from initiation through to completion.

Duties and Responsibilities

Clinical Operations

  • Supervise and guide a team of Patient Service Associates (PSAs) within the Therapeutics Operations Section to ensure efficient daily operations.
  • Support and oversee outpatient clinic operations, including patient experience, financial performance monitoring, resource planning, and workflow coordination.
  • Collaborate with Section InCharges to support care transformation initiatives through process optimisation and digitalisation, including participation in new service development and implementation of costrecovery strategies, supported by sustainable maintenance frameworks managed by respective sections.
  • Assist in the development, implementation, and maintenance of departmental policies, standard operating procedures, and internal controls to ensure operational consistency and compliance.
  • Provide operational support and coverage for EPIC system functions, including room mapping and maintenance of provider databases through OSR processes.
  • Coordinate annual budgeting and procurement activities for capital and operating expenditures in partnership with key business stakeholders.
  • Support annual costing reviews to assess and maintain the financial sustainability of departmental services.
  • Plan and execute assigned operational and administrative projects, ensuring timely delivery and adherence to requirements.
  • Collect, analyse, and prepare performance data and reports to monitor departmental key performance indicators (KPIs).
  • Coach and mentor staff in customer service standards, administrative processes, and operational best practices.

 

Project Management

  • Assist in the execution of operational and administrative projects, collaborating with Section InCharges on implementation, monitoring progress, and addressing operational issues.
  • Provide support for departmental initiatives and adhoc activities as required.

 

Requirements

 

  • Possess a recognised basic degree, with at least 2–3 years of relevant working experience in a related field preferred.
  • Strong analytical skills with effective written and verbal communication abilities.
  • Proficient in IT applications, including Microsoft Office suite and data management or visualisation tools such as Tableau.
  • A collaborative team player with good interpersonal skills, able to work both independently and as part of a team in a fastpaced environment.
